Purpose of this policy
The conference is organised by Cosent, NL, Capucijnenstraat 21 C03, 6211 RN Maastricht. The event takes place in Maastricht, the Netherlands.
During the conference, the organisers and authorised photographers, videographers or service providers may take photographs and record video footage for the purpose of documenting, communicating and promoting the conference and related activities.
Photos and videos may be used on the conference website, Plone-related websites, communication channels, social media channels, newsletters, presentations, press materials and other conference-related communication and marketing materials.
Photography and video during the event
By attending the conference, attendees acknowledge that photo and video recordings may take place at the event venue.
This does not mean that the organisers will use every image without restriction. The organisers will take reasonable steps to respect objections and opt-out requests.
Attendees who do not wish to be recognisably shown in published photos or videos must contact the organisers at [email protected].
Opt-out during the conference
Attendees may also contact the registration desk on site. The organisers may provide a visible opt-out marker, such as a specific lanyard, badge, sticker or wristband. This marker must be worn visibly during the event.
The organisers will brief photographers, videographers, social media staff and relevant event team members about the opt-out system.
The organisers will make reasonable efforts not to intentionally photograph, film, publish or reuse material in which an opted-out attendee is recognisably visible as a main subject.
If an opted-out attendee is recognisably visible in material intended for publication or reuse, the organisers may crop, blur, obscure, discard or otherwise refrain from using that material.
Important limitations
Wide-angle shots, crowd scenes, stage or audience shots and incidental background appearances may still occur, especially where individual attendees are not the main subject of the image or video.
Separate consent may be requested for interviews, testimonials, posed portraits, speaker portraits, close-ups, promotional hero images or other prominent individual uses.
Objecting to a specific photo or video
Attendees may object to the use of a specific photo or video, withdraw consent where applicable, or request removal from future use by contacting [email protected].
The organisers will review such requests and, where appropriate, remove, restrict, crop, blur or stop further use of the relevant material.
A withdrawal or objection does not affect processing or publication that occurred before the request was received, unless applicable law requires otherwise.
Respecting other attendees
Attendees are asked not to photograph, film or publish images of other attendees in situations where this would infringe their privacy, dignity, confidentiality or legitimate interests.
This policy applies in addition to the general privacy notice and any applicable ticketing terms.
